What is Appointment Core (And How It Helps Your Online Business)

When growing your business, the number of people you need to meet increases rapidly. How do you handle that?

Every week, you likely have a lot of appointments with potential clients and partners. And if you’re trying to stay on top of all those appointments manually, it can become a burden.

To start with, you might miss some appointments and lose business opportunities because you missed a meeting. Not to mention that missed appointments can be detrimental to your image.

One of the best ways to avoid all that from happening is to automate bookings and scheduling in any way you can.

AppointmentCore can help you to do just that.

It’s an app that works with Outlook, Infusionsoft, or Google Calendar to make it easier for you to handle all the appointments.

But this only scratches the surface. Find out how the software helps with your scheduling.

What is AppointmentCore?

As mentioned, AppointmentCore is an app that works with the most popular calendar apps to help you set up and keep track of appointments. And one of the benefits is that the software is easy to use.

First, you’ll create time slots where you’ll be available. Your potential customer or partner will then be able to choose their preferred slot within the app. Meetings are created automatically in the linked calendar app.

Note that AppointmentCore allows you to integrate more than one app. Aside from those mentioned earlier, AppointmentCore also supports:

  • GoToMeeting
  • Zoom
  • SalesForce
  • Hubspot
  • Zapier
  • ActiveCampaign
  • WebEx

The great thing about using the app is that it only shows people available time slots. This avoids double bookings and makes appointment management more straightforward.

The Key AppointmentCore Features

1. The Simple Appointment Booking Process

Once you select your time slots, potential clients will then be able to see all the available slots. They can choose a slot that works best for them and the app will create an appointment.

The system will automatically email all the details of that appointment to both the potential customer and you. That removes the need to go back and forth emailing or calling to determine when it’s best to set up a meeting.

To make things even easier, you can just send out available time slots to your potential clients. It can just be through an email with a link to your AppointmentCore schedule where they can make a selection.

If you’re using Infusionsoft, the CRM becomes more powerful because you can streamline bookings as much as possible. You can also send appointment links to your Infusionsoft contacts from Infusionsoft itself. This can apply to different Infusionsoft and email campaigns. The software automatically recognises a contact’s credentials, so they don’t have to log in or share any data.

Also, note that your availability in AppointmentCore isn’t just what you set within the software. It’s a reflection of your real-time schedule since it’s synced with your calendar app. As mentioned, this can prevent double bookings and allow more people to schedule meetings.

2. Automatic Conference Event Creation

Connecting AppointmentCore to WebEx, Zoom, or GoToMeeting enables fully automatic conferences. This means that you don’t need to create and then send out invitations manually – the software does that for you.

You only have to select the options to create a scheduling link that connects to conferencing software, which you can do in a few clicks.

When a conference attendee chooses to participate, they get an invitation and you receive an email for that event.

3. Automatic Tagging and Reminders

As soon as a prospect books an appointment, Infusionsoft tags are automatically added to that contact’s records. Following that, you can add tags to track history or existing Infusionsoft campaigns.

Again, the benefit is that everything happens on auto. Your contacts are not required to leave their credentials. They only have to click the scheduling link and the software will do the rest.

You can also choose to include Infusionsoft WebForms. These become part of the booking links where the prospect can fill in the form after or before appointments.

If you want to turn things up a notch, there’s an option to create Infusionsoft custom fields. These and your scheduling link allow you to add a personal touch to your communication. This then eases booking friction and gives you a chance to attract more appointments.

But if you struggle with tagging and want to ensure everyone interested would attend, Automation Agency can help. Using your preferred calendar app, we can help you capture and tag everybody who’s booked a slot for your event, for example.

4. At-A-Glance Calendar

When you open AppointmentCore, you’ll see a dashboard with all your appointments and time slots. The friendly UI allows you to quickly preview what you have scheduled on any given day. And you can base future appointments on what you see in the dashboard.

For example, you’ll see Infusionsoft Appointments alongside other appointments made through the AppointmentCore system. You can also see the calendar used for the appointment.

And as your calendar gets booked, AppointmentCore will show prospects only the available time slots. This means that there’s no way for two people to book the same slot.

However, this doesn’t mean that you should stop making Infusionsoft Appointments. Keep in mind that AppointmentCore updates information from Infusionsoft to ensure only open slots are listed.

5. Buffer Times

Buffer times are critical to avoid scheduling one meeting after another. But how should you use buffer times?

For example, you can leave 10 minutes at the end of a 50-minute meeting to prepare for the next. That should be enough time to wrap up whatever’s discussed in the previous session and get ready for what’s to come.

AppointmentCore will slot in 10-minute buffer times automatically. You can choose to add a 10-minute buffer before a meeting or divide it into two five-minute slots before and after an appointment.

Whichever way you go, you’ll have enough time to get ready, maybe even take a little rest first before your next appointment.

6. Accounting for Time Zones

Navigating different time zones can be tricky as you want to ensure prospects can book a time that works for both of you. Luckily, you don’t have to do any calculations or rescheduling with AppointmentCore.

You get to select your time slots on specific dates for your time zone only. The app can even set the time zone for you.

Once a prospect opens an appointment link, the software will recognise their time zone. They’ll see when you’re available in their time zone and book an appointment accordingly.

7. Team Rotation Features

AppointmentCore allows you to stay on top of your team’s schedule as well. After all, the app works with whatever calendars they’re using for better team management.

With that said, you can designate which team members can use AppointmentCore. The app automatically inspects their calendars to check availability. It can also leave open slots so that at least one team member is always available for a meeting.

But what if a client needs a meeting at a specific time?

If that’s the case, AppointmentCore can search for a team member that’s available at that time. And the benefits here are two-fold.

First, your team can work on their own schedule without having to reserve appointment time slots. Second, potential clients have the benefit of a wider selection of appointment times.

It’s a win-win situation for all parties involved.

8. You Set Your Limits

Chances are that you don’t want to set time slots for the entire month for fear that your availability might change. Fortunately, that’s not a problem with AppointmentCore.

The software allows you to determine how far ahead to keep the schedule open. Also, you can choose when someone can book an appointment. Usually, it’s a day or two before the meeting, depending on your schedule and availability.

But you don’t want someone to book a slot five minutes before an appointment. To ensure this won’t happen, just select how close to the present time a meeting can be booked. Your potential client will then be offered a time slot closest to what they had wanted to book.

9. API Integrations

AppointmentCore is an excellent productivity software in itself, but you can improve it further.

The good news is that you can integrate AppointmentCore’s API with other software. This is in addition to the applications mentioned throughout the article.

If you have AppointmentCore Enterprise, you have access to the API, with which you can expand the app’s functionality and create add-ons.

10. Automated Messages

Recently, AppointmentCore introduced time-based triggers of an hour, a day, or whatever time you want before an event. With this feature, you can send automatic texts, emails, and HTTP posts.

The triggers are also event-based, so you have a few options for when you want the email or text to get sent out. Your options include:

  • After the appointment date time
  • After the appointment is booked
  • After reschedule

Automate Your Bookings

AppointmentCore has the power to make your business more productive. More importantly, you don’t need to worry about missed meetings and business opportunities because the app takes care of everything for you.
