The software automatically recognises a contact’s credentials, so they don’t have to log in or share any data.

2. Automatic Conference Event Creation

Connecting AppointmentCore to WebEx, Zoom, or GoToMeeting enables fully automatic conferences. This means that you don’t need to create and then send out invitations manually – the software does that for you.

When you open AppointmentCore, you’ll see a dashboard with all your appointments and time slots. The friendly UI allows you to quickly preview what you have scheduled on any given day. And you can base future appointments on what you see in the dashboard.

For example, you’ll see Infusionsoft Appointments alongside other appointments made through the AppointmentCore system. You can also see the calendar used for the appointment.

And as your calendar gets booked, AppointmentCore will show prospects only the available time slots. This means that there’s no way for two people to book the same slot.

However, this doesn’t mean that you should stop making Infusionsoft Appointments. Keep in mind that AppointmentCore updates information from Infusionsoft to ensure only open slots are listed.

5. Buffer Times

Buffer times are critical to avoid scheduling one meeting after another. But how should you use buffer times?

For example, you can leave 10 minutes at the end of a 50-minute meeting to prepare for the next. That should be enough time to wrap up whatever’s discussed in the previous session and get ready for what’s to come.

AppointmentCore will slot in 10-minute buffer times automatically. You can choose to add a 10-minute buffer before a meeting or divide it into two five-minute slots before and after an appointment.

Whichever way you go, you’ll have enough time to get ready, maybe even take a little rest first before your next appointment.

6. Accounting for Time Zones

Navigating different time zones can be tricky as you want to ensure prospects can book a time that works for both of you. Luckily, you don’t have to do any calculations or rescheduling with AppointmentCore.

You get to select your time slots on specific dates for your time zone only. The app can even set the time zone for you.

Once a prospect opens an appointment link, the software will recognise their time zone. They’ll see when you’re available in their time zone and book an appointment accordingly.

7. Team Rotation Features

AppointmentCore allows you to stay on top of your team’s schedule as well. After all, the app works with whatever calendars they’re using for better team management.

With that said, you can designate which team members can use AppointmentCore. The app automatically inspects their calendars to check availability. It can also leave open slots so that at least one team member is always available for a meeting.

If that’s the case, AppointmentCore can search for a team member that’s available at that time. And the benefits here are two-fold.

8. You Set Your Limits

Chances are that you don’t want to set time slots for the entire month for fear that your availability might change. Fortunately, that’s not a problem with AppointmentCore.

The software allows you to determine how far ahead to keep the schedule open. Also, you can choose when someone can book an appointment. Usually, it’s a day or two before the meeting, depending on your schedule and availability.

But you don’t want someone to book a slot five minutes before an appointment. To ensure this won’t happen, just select how close to the present time a meeting can be booked. Your potential client will then be offered a time slot closest to what they had wanted to book.
