As a business coach, your calendar is your lifeline. Without it, you’d be an unorganized mess — and your business would surely suffer.
Between hosting webinars, business meetings, and client calls, each minute of your day is planned out. But unfortunately, trying to schedule each and every task can be time-consuming and frustrating.
When you work with busy business leaders and entrepreneurs, it can seem nearly impossible to nail down a time when you are both available. You send dozens of emails back and forth, trying to find a date that works for the both of you.
In today’s day and age, manual scheduling is outdated, inefficient, and a waste of time. It can take days or even weeks to finally settle on a time. Luckily, a great scheduling tool can make your life easier.
There are dozens of scheduling options on the market, but here are five of our favorite scheduling apps for business coaches.
The Best Scheduling Apps for Business Coaches
1. Calendly
Calendly is one of the most popular scheduling apps around today. The easy-to-use system connects with your calendar to put the scheduling power in your clients’ hands.
To set up your Calendly account, you simply need to set different rules establishing the days and times you’re available. You can also set buffer times between your meetings and set up rules preventing last-minute bookings.
Calendly integrates with apps like Zapier, PayPal, and Salesforce to further streamline your scheduling process. You can even use Google Analytics on your Calendly page so you can measure conversions and booking activity.
Calendly offers a free basic plan that allows you to create one type of event (e.g. a 30-minute call) with more advanced plans beginning at just $8 per month. The advanced plans allow you to create multiple types of events than can be used at the same time.
2. ScheduleOnce
Like Calendly, ScheduleOnce integrates with your other tools and apps to create a seamless, automated experience all around. However, ScheduleOnce takes it a bit further, allowing you to incorporate your scheduling app into all your processes.
ScheduleOnce works similarly to the other apps on this list. Your client simply selects a day that works for their schedule and one of your available times. The meeting is automatically synced with your calendar.
ScheduleOnce has a lot of customization options, which makes it great for creating a unique system for you and your clients. However, the number of options can sometimes feel overwhelming. Compared to other apps, ScheduleOnce can take a bit of time to get used to.
ScheduleOnce has plans that begin at $7.50 per month and range to $39 per month.
3. Acuity Scheduling
Acuity Scheduling is a scheduling app that comes in an easy-to-use iPhone, iPad, and Apple Watch app. This makes it a great option for coaches who rely more on their to-go devices than a laptop.
While Acuity Scheduling connects with your calendar app, it also hosts your appointments in its own unique calendar system. Acuity Scheduling can then send you updates, alerts, and reminders of the appointments you have.
Acuity Scheduling also allows you to collect payments, work in multiple time zones, and customize your different appointments to fit your business needs. It also integrates with some of your favorite apps, such as PayPal, GoToMeeting, MailChimp, and Quickbooks.
Acuity Scheduling offers a free plan, with larger plans going up to $50 a month.
4. YouCanBook.Me
YouCanBook.Me is an awesome scheduling tool for teams, individual meetings, and more. You can set a standard availability schedule for each week or even adjust each week depending on other appointments you have.
YouCanBook.Me makes it easy to use a scheduling app, regardless of where your clients are located. The system automatically detects time zones so your clients can book appointment times that really work for them.
YouCanBook.Me integrates with Zapier, Gmail, and Stripe. This is far fewer than other apps on our list, but they still allow you to create a smooth system for your coaching business.
YouCanBook.Me only offers one plan, which begins at $10 per calendar per month.
5. AppointmentCore
If you use InfusionSoft and Google Calendar, AppointmentCore is the perfect scheduling app for you. The tool easily integrates with both systems to give you an all-in-one experience.
AppointmentCore works by allowing you to create different appointment slots based on your availability. Then, using a special link, your client can select an appointment slot that works for them. They enter the required information and a meeting is automatically created in your InfusionSoft system.
However, AppointmentCore doesn’t work with other systems. If you don’t already use InfusionSoft or you’re not interested in making the change, then AppointmentCore isn’t the best choice for your coaching business.
AppointmentCore pricing begins at $27 per month.
